Using Entitlement groups

The key thing to remember about creating entitlement groups is that you need to start with an entitlement and then add the various offerings to that entitlement after creation. i.e., every time you create an entitlement, a group is formed ready for the addition of the components you wish to "bundle" together. You can do this right away or at a later date. Once created, you can use the specific ID for that group when selling the grouped offerings.

The easiest way to start your entitlement group is to create an entitlement, as shown in the previous docs pages, and then add the extra offerings to make up the final bundled product SKU you wish to sell to the customer.

Create an entitlement (group)

As stated, when you create an entitlement, you also create a base group with the single entitlement.

Here, we will extend that group to something we wish to use with a customer who requires a "bundle" of offerings instead of a single offering as part of their order.

  • Navigate to the "entitlements" section, and click "create entitlement" as previously shown.

The only difference from a normal entitlement creation process is that we add further offerings to the process, resulting in a range of offerings in a final bundle of functionality for the customer.

  • Complete the "Create Entitlement and a Group" form as before, but now click the "add offering" option in blue under the first offering to add more offerings to the group.

  • You can add as many extra offerings as required to make your group, here we have added two more.

  • Once done, click save to update the entitlement group.

Now you can review your changes and reference this group in your ordering process.

Edit an entitlement (group)

  • If you need to edit your groups, navigate to the entitlement page and click edit on the top right of the section.

  • This will only allow you to change the customer for this group and any order ref you set previously. Make any edits and click save.

Edit an entitlement (group) contents

If you wish to change the offerings in the group once it is created, such as removing an offering, you can only delete an entitlement. This assumes that neither the group nor the entitlement has been used.

  • To remove an entitlement (and its offering) from the group, find the group in the list and click on it to show the associated entitlements.

  • Then click on the entitlement (and its offering) you wish to remove from the group, and also your entitlement list.

  • Click the three dots in the top right corner on the entitlement page. Then, select the "delete entitlement" option to remove the entitlement from the system and the group.

  • You will then get a warning, click "delete" to continue. This cannot be undone, so be careful.

Once you have deleted the entitlement, it will be removed from your group as shown below.

Removing a "used" entitlement

If you try to remove an "active" or used entitlement from a group, i.e., a user has these rights and is consuming them, you will get a warning about this and need to complete a longer deletion process. This is to safeguard your users in the field; deleting a used entitlement can have bad effects on your users and customer satisfaction.

  • Only remove this type of entitlement with extreme caution!

Edit an entitlement (group) by adding more entitlements later.

You can edit a customer entitlement group by adding more offerings/entitlements instead of removing them, as shown above.

Just remember that when adding more functionality to a previously sold entitlement group, everyone attached to that license code or ABL group will immediately have access to the extra functionality.

If you wish to change the offerings in the group once it is created, such as adding an offering, you can do that easily.

  • To "create entitlement" in this group, find the group in the list and click on it to show the associated entitlements. Here we can see two existing entitlements in the group, and we will add a third.

  • Click the blue "adding offering" option to add the new entitlement to the group, select the one required.

  • Click save to add the additional entitlement. The dialog shows in blue that you are doing so.

  • On returning to the group page, you can now see your additional entitlement.

You can repeat to add further entitlements as required.
